How do I host an in-person event?

In-person events are one of our favourite things in our global community: members meeting each other in person after building friendships online 😍

 

So you're thinking about organising one with Hey Lady! members in your city (or a city you’re visiting) - below is your guide to planning, setting up and running it!

 

 

Plan your event!

 

Informal meet-ups that members of our community have hosted in the past include visiting an art gallery or museum, watching a movie at an outdoor cinema, having a picnic, visiting a market, sharing a meal at a restaurant or having coffee. 

 

Important things to consider when planning your in-person meetup are:

 

  • The location, it should be convenient, making it possible for many ladies to join

  • The weather

  • Public holidays

  • Any costs involved

  • Any bookings/reservations necessary

  • The number of ladies who may attend
    Tip: Go to the Members page and use the Location filter to see who is currently in the city and may be interested!

 

Instructions on how to set up an in-person event

 

Once the details are finalised, it's time to create an event on the platform and invite ladies in the community. We recommend doing this at least 4-6 weeks in advance, so people can save the date and mark their calendars!

 

1. Click the Create Event button on the platform.

 

2. Choose the In Person option.

3. Add the title and description of your event. Provide a clear and informative description highlighting the meeting point, additional costs (if any) and the plan for your meetup - give ladies an idea of what they can look forward to!

 

Add the address of the meeting point location (you can also search the name of the location, restaurant, cafe etc)

 

4. On the next page, choose the date and time of the event. 

 

5. Invite any ladies who you think may be interested in joining.

 

6. Publish the event! 

 

Communicating information about your in-person event

 

It is important that you provide details about your event well in advance so ladies feel comfortable and can organise their time to join you!

 

You may set up a chat group inside the Hey Lady! platform or a WhatsApp group for faster communication if ladies have it and are comfortable providing their personal details.

 

On the day, make sure you arrive at the meeting point early and provide contact information in case any of the ladies have trouble finding you!

 

Important! After the meetup, there are 2 things we'd love from you 😍

 

1. Let us know about it! You may consider writing an article in the Hey Lady! Memberzine or send your photos to hello@heylady.io - we would love to see them and share a pic inside The Loop!, or even on our social media pages (but only with your permission)

 

2. Mark attendance of your in-person meetup! After your event has ended, go back to it on the platform (you can find it here) and let us know who attended so we can update everyone's profiles and their attendance score!
